How to write the gift ledger

A gift ledger does one job: every envelope can be found again. The steps below follow the order of the desk on the day.

The six columns

No.

One number per envelope, on the packet and in the book

Time

When it was received, filled by the app

Table

Where the guest sits, blank if unknown

Name

The name on the packet

Amount

Counted after opening

Payment

Cash, check or other

Fill a row as each envelope comes in. Open the packet and copy what is written on it: the name as written, then the amount you counted, as a whole number of NT dollars. The table is optional; leave it blank when you do not know where the guest sits.

If you have the invitation list, paste it in before the day, one name per line. In the app it is what the desk searches when a guest walks up, and you can add names later.

Numbering

One number per envelope, on the packet and in the book. Never change a number; a missing number is how you find the missing envelope.

One line per guest. Numbering carries on from the phone; type them back in after the night.

A mistake is fixed by editing the row, never by renumbering it. The number stays put; the name, table, amount and payment can all change.

The only thing you can take back is the newest envelope. That is on purpose: if any envelope could be removed, a missing number could be quietly erased and settling would have nothing to catch.

Settling

Every number is accounted for

Some numbers are missing

Settle once the last guest has gone. The check counts from number one up to the highest number recorded. If every number is there, you are told every number is accounted for. If not, you are shown which numbers are missing.

A missing number means a missing envelope. Find it and put it back, or note it and settle anyway; the choice is yours. Settling also shows the total collected, the number of envelopes and the number of tables.

Then export the book as a PDF or a CSV, and file it into your ledger to close the event. Filing asks for a second press to confirm.

Payment

Cash

Check

Other

Every row carries one of three payment types. Pick the one that matches what was inside the packet once you opened it.

If the phone gives trouble, print the blank paper book and keep going. It has one line per guest, and its numbering carries on from the phone, so type the paper rows back in afterwards.

Common questions

Must I write the table?

Not required, but it helps find people. In the app, rows without a table are not counted as a table.

What if I write something wrong?

Change the name or amount, never the number. The number is what settling checks.

Is there a template?

Yes, on the template page: Excel and PDF.

Can I keep the ledger on paper?

Yes. The blank paper book is on the template page. It has one line per guest, and its numbering carries on from the phone. Type the rows back in after the night.

Where is the data kept?

Everything stays on the phone. You can export the book after the night.

What happens when I file it?

The envelopes go into your ledger and the event closes. Filing asks for a second press to confirm.
